Building a Project Schedule
A project schedule lists every task with its start date, end date, duration, owner and dependencies, and often shows them as bars on a timeline (a Gantt view). The Excel version calculates durations for you; the Word version is easier to print for a meeting.
- Break the project into phases, then into tasks of no more than about two weeks each.
- Estimate a duration for each task and note which tasks must finish before others can start.
- Assign one owner per task.
- Mark milestones such as “design approved” or “go-live”.
- Save a baseline copy before work begins so you can compare the plan with reality later.
Keeping the Schedule Realistic
Add buffer time before major milestones instead of padding every task. Update the schedule weekly with actual dates, not just percentage complete. If one task slips, check which later tasks depend on it, since that knock-on delay is what the schedule exists to show.
