What a School Report Card Contains
A school report tells parents how a pupil is doing across subjects for a term or year. This template follows the layout most schools use, so teachers only need to fill in marks and comments.
| Section | Typical content |
|---|---|
| Pupil details | Name, class, roll number, term |
| Subject grades | Mark or grade for each subject, with the class average if your school shares it |
| Attendance | Days present and absent |
| Behaviour and effort | Rating scale with short notes |
| Teacher comment | Two or three sentences on strengths and next steps |
| Signatures | Class teacher, head teacher, parent |
Writing Useful Report Comments
Name one strength and one specific target, for example “Reads fluently; next step is explaining answers in full sentences.” Avoid comparing a pupil with classmates. Check every grade against your mark book before printing, because corrections on a signed report look careless.
Define the Reporting Purpose
State what the report should communicate, such as progress, performance, findings, attendance, results, risks, or recommendations. A clear purpose guides which details belong.
Identify the Period or Scope
Specify the dates, class, project, department, subject, or activity covered. This prevents readers from comparing information drawn from different periods or populations.
Use Reliable Source Information
Base grades, metrics, observations, totals, and conclusions on appropriate records. Where information is estimated or subjective, make that clear.
Organize Supporting Details
Group related results under clear headings. Tables work well for comparable figures, while short narrative comments are useful for interpretation and context.
Separate Facts From Comments
Distinguish measured results and recorded events from professional judgment, explanation, or recommendations. This makes the report easier to interpret fairly.
Add Actions or Next Steps
Where appropriate, explain what should happen next, who is responsible, and when follow-up is expected. Reports are more useful when they support action.
Proofread Names and Numbers
Check names, dates, totals, percentages, grades, references, and repeated figures. Small inconsistencies can undermine confidence in the whole report.
